Kalevala Jewelry streamlines its agreement process With Visma Sign

Kalevala Jewelry moved to e-signing several years ago, prompted by a major agreement renewal project with its retailer network. Hundreds of annual reseller agreements were updated and sent out as a mass delivery through Visma Sign’s e-signing service.
Kalevala Jewelry is the largest jewellery company in Finland and one of the biggest in Northern Europe, designing, manufacturing and marketing high-quality gold, silver and bronze jewellery.
Turning the agreement process digital with Visma Sign
Kalevala Jewelry adopted e-signing in May 2018 when it was time to renew agreements with its retailers.
“We have a wide retailer network, and every spring we renew our annual reseller agreements. There are around 400 of them. We needed a solution that would make the whole process more manageable,” says Liisa Kettinen, Sales Manager at Kalevala Jewelry.
Implementation was quick and straightforward.
A Visma Sign specialist introduced the service online. After that, everything worked smoothly. The service is clear and easy to use, and we also received excellent support when preparing the mass delivery.
Sending all agreements in one go
The reseller agreements were updated using Visma Sign’s mass delivery feature.
Compared to the old paper-based workflow, e-signing saved significant time and reduced costs. It also ensured that Kalevala Jewelry knew exactly who had received the agreement.
“Previously there were many more moving parts. Printing, mailing and tracking everything took a surprising amount of work and generated additional costs. And of course, I had to sign every agreement myself once it came back,” Kettinen explains.
Some agreements were historically reviewed face to face, which added travel expenses and working hours.
“Compared to that, e-signing is absolutely the better option,” she adds.
And the same benefits apply far beyond mass deliveries – for example to employment contracts or board documents signed in a specific order. The possibilities are extensive. E-signing is also more sustainable compared to paper.
Towards company-wide digital archiving
Kalevala Jewelry plans to expand its use of Visma Sign. “Our goal is to archive all contracts electronically,” Kettinen says.
We have folders for sales, HR, management and finance. The strength of the service is that documents are securely stored and only visible to the people who should see them.
To her, e-signing simply reflects how modern businesses operate. “The technology works, and it’s trustworthy. And from an ecological perspective, it’s clearly the smarter choice. I would recommend electronic signing to anyone.”
